  • Email (Electronic Mail) is an online method of exchanging written communication. It is the electronic equivalent of a letter.
  • Email writing is an essential professional skill in today’s digital era.
  • Emails can be formal or informal, depending on the purpose and recipient. Regardless of type, correct grammar, spelling, and tone are crucial.

Important Points for Email Writing

  • Always type the email address in lowercase without spaces.
  • Verify the receiver’s email ID to avoid delivery errors.
  • Always include a subject line that clearly reflects the content of your email.
  • Use “To” for the main recipient, “CC” (Carbon Copy) for secondary recipients, and “BCC” (Blind Carbon Copy) for hidden recipients.
  • Avoid grammatical or spelling mistakes — they create a poor impression.
  • Use modern email formats, not outdated letter-writing styles.
  • Write an appropriate salutation or greeting according to the recipient.
  • Be specific and concise — include all relevant information.
  • Attach necessary files or documents properly.
  • For formal emails, use complete sentences, polite tone, and correct grammar.
  • Avoid using abbreviations or slang in formal communication.
  • End your email courteously and proofread before sending.
