ØA memorandum, or memo, (plural 'memorandums'/ 'memoranda"/ memos") is another kind of written official correspondence used in business organisations and in educational and research institutions to enable quick and smooth flow of information.
Ø Memos are used to communicate plans, schedules, inquiries, information, instructions, decisions, recommendations and responses to requests.
Ø Memos resemble official letters in that they are a means of written communication related to work situations. However, memos differ from letters in style, format and, most importantly, in that they are notes used for communication only within an organisation or a department. They also serve as records and help establish accountability and maintain good relationship among the employees in an organisation.
Format for writing a Memo: For writing a memo one should keep in mind the following points:
Ø State the subject clearly and precisely.
Ø Get to your main message directly.
Ø Make the sentences short and simple,
Ø Give preference to direct statements using personal pronouns is necessary
Ø Break up your message into points.
Ø It should be brief and to the point.
Tips for writing a memo:
Ø Below are tips you can follow to make sure that you produce memos that are consistently well-written.
Ø Memos should be smart - specific, measurable, attainable, relevant, and time bound.
Ø Don't use informal language or avoid colloquial language.
Ø Avoid flowery language and adding unnecessary details in a memo.
Ø Present the main point within the opening paragraph.
Ø If your memo is long, consider breaking it down into smaller chunks to make it easier to understand.
Ø Don't use emotionally-charged words or language in a memo.
Ø Maintain professionalism by outlining the details in a memo.
Ø Proofreading is necessary for a memo to check grammatical, or spelling errors.
Short Speech
Ø A speech is a way of expressing one's thoughts /ideas on a specific topic in a communicative format.
Ø Speech means lecture or speaking on any particular subject. The speech reveals one's personality and behaviour.
Ø The objective of a speech is to express and convey your opinions, views, knowledge and thoughts to the audience. It also helps to enhance one's oratory skill.
Structure of Speech: The structure of Speech is:
Ø Greeting/Salutation : Begin with greeting the audience followed by self- introduction and announcement of the topic
Ø Introduction : Make sensible deviation by giving quotations on the topic. Also give your introduction and highlight the topic.
Ø Body of the Speech: Narrate facts, present data with relevant examples.
Ø Conclusion: Close the speech by summarising all the points. Try to draw the conclusion in an innovative way so that your parting thoughts curve out a niche in the minds of your audience.
Important Points to Remember:
Ø Address the audience directly with the proper beginning.
Ø Use direct questions and rhetorical questions in the speech.
Ø Write your speech in present tense.
Ø Prepare the speech to capture and captivate the listener.
Ø Try to make your speech more effective by using proper points and examples.
Ø Write the speech as if you are talking to your audience. Keep the co-relation between thoughts and your language.
